Workplace communication practice in India: listening, clear requests and useful feedback
Exercises for better professional conversations, concise written requests and respectful feedback in multilingual teams.
Begin with one recurring communication problem
A broad goal such as 'be confident at work' is hard to measure. Identify one recurring situation: a project handover, an unclear instruction, a remote meeting or a disagreement about a deadline. Write what happened, what information was missing and the result you wanted. In an Indian team, colleagues may use different preferred languages or levels of formality. Ask which language and format make the work clearest instead of assuming everyone understands the same shorthand.
Practise listening before presenting your solution
In pairs, have one person describe a task for two minutes while the other avoids interruption. The listener then summarises the objective, deadline and unresolved points and asks what was misunderstood. Switch roles. This short exercise exposes hidden assumptions without turning the conversation into a debate. In real meetings, distinguish what was stated from what you inferred. A respectful follow-up question often prevents a longer chain of messages later.
Structure requests so another person can act
A useful message names the required action, the reason, the relevant file or reference, and a realistic response date. Rather than 'send the numbers soon', try 'please share the revised quantity table by Thursday so we can check the order'. Confirm time zones for colleagues working across locations. Avoid mixing an urgent decision with multiple unrelated questions in one paragraph. If a request contains sensitive client information, move it to the organisation's approved channel.
Argue from evidence without turning it personal
When people disagree, present a claim, one concrete supporting fact and the decision it affects. Then state what evidence would change your mind. 'We should test this layout with users because three participants missed the booking field' is more productive than labelling a colleague's work careless. Invite alternative explanations and distinguish a preference from a documented failure. Practise replying to objections without raising the volume or relying on job titles to settle the issue.
Give feedback with observation and next action
Replace personal labels with specific behaviour: 'The status update omitted the delivery risk' is easier to act on than 'You are unreliable'. Explain the effect and request an achievable change, such as adding a risk line to the next report. Give the other person time to respond and check whether workloads or instructions caused the problem. Feedback should not expose someone to public embarrassment. In training, role-play both the giver and recipient before discussing what felt clear.
Evaluate training through practical evidence
A useful course should include scenarios, live practice and individual feedback, not only slides and a certificate. Before enrolling, ask how many exercises participants complete, whether the trainer works with multilingual groups and how improvement will be assessed. Afterward, repeat your initial scenario and compare the clarity of the request and response. Keep a small checklist for your next five meetings: objective, summary, agreed action, owner and due date.
Find people with clear expectations
