Creating step-by-step work instructions in India: make every action testable
A practical guide to writing work instructions for Indian teams: audience, screenshots, mobile readability, translation, privacy and testing.
Start with one outcome and one reader
A good work instruction describes how a person completes a specific task, not everything known about the software or process. Decide whether your reader is a new employee, a customer or a colleague temporarily covering a shift. In Indian teams where staff may use different working languages and devices, ask which terms they actually recognise. Define the starting point, required permissions and what a successful finished result looks like. Break large processes into separate procedures so that a reader can complete one without scrolling through irrelevant branches.
Record the true sequence rather than an idealised one
Perform the task once from a fresh account or realistic starting condition. Note menu labels, button names, required inputs and any waits or confirmation screens. Number actions in the order they must happen, and use one main action per step. Do not write 'configure the system' when the reader needs to choose a particular option. Mark optional routes and failures separately: a blocked user should see how to recover without guessing. For physical procedures, add clear conditions for stopping and asking a supervisor rather than improvising an unsafe repair.
Use screenshots without exposing private information
Screenshots are useful when the location of a control is confusing; they are not a substitute for readable instructions. Capture only what is necessary and crop or redact names, phone numbers, customer details, payment information and internal account identifiers. If an automatic recorder logs every click, review its output before sharing the document. The recorder may include unrelated browser tabs, wrong paths or sensitive content. Write descriptive image captions so that readers on small screens or with accessibility needs can still follow the sequence.
Choose a format that survives weak connectivity
For people working on a phone, large screenshots, tiny arrows and lengthy tables are difficult to use. A short HTML page or well-structured document may be easier to update than a heavy slideshow; a PDF can help where offline access is important. Test the actual file on an inexpensive smartphone as well as a desktop. If teams work in Hindi, English or a regional language, translate the instructions and UI terms carefully; do not simply machine-replace every label when the application interface is still in English. Keep the original button name beside a local explanation when useful.
Test with someone who has not watched you
Give the draft to a person who knows the goal but has not seen the author complete the task. Observe where they pause, choose a wrong menu or need to ask a question. Record that confusion as an issue with the instruction, not with the reader. Check that every image matches the current interface and that the last step produces a verifiable result. An instruction that works only when the author explains it verbally is not finished. Repeat the test after substantial software changes.
Set ownership and a revision routine
Add a document title, responsible team, last review date and a simple change log. Assign someone to review screenshots and steps when a process or interface changes. Store the official version in one known place so that outdated copies do not circulate through informal messages. If a contractor prepares the document, agree on editable source files, image ownership and a final demonstration. The deliverable should include the steps, exceptions, privacy review and an agreed handover, not merely a nicely formatted file.
