Hiring a helper for a small shop stocktake without granting access to the till
A practical small-retailer stocktake plan: counting zones, item codes, restricted access, discrepancy checks and finding temporary help locally.
Define the counting job before recruiting
Before a seasonal range change, a small retailer may need to check stock on shelves and in storage. That does not mean a temporary helper needs access to the entire sales or accounting system. Decide whether the job covers shelf quantities, stockroom cartons, damaged goods, completeness of packs or matches against internal item codes. Appoint a permanent member of staff to accept the count and investigate disputed items. Choose a time that minimises interference with customers and avoids stock moving between the shop floor and store without being recorded. Clear boundaries help a temporary worker focus on a finite, checkable task.
Divide the premises into identifiable zones
Assign labels to areas such as shelf bays, drawers, cabinets and storage racks. A working sheet should contain a zone identifier, product code, short description, unit of measure, physical quantity and a notes field. If the same item is stored in two places, agree how both quantities will be captured without counting one twice. Two cartons are not necessarily two units; open cases and mixed packs need separate instructions. Mark damaged, questionable or unusable products separately from saleable stock. A designated employee should control the count sheets so nothing silently disappears between collection and reconciliation.
Apply the minimum-access principle
Counting goods generally does not require a till password, payment-terminal PIN, banking access, customer list or sales reports. Give the helper a limited worksheet, ideally with item codes rather than confidential commercial data. A staff member can reconcile the figures with the actual inventory system afterwards. If barcode scanners are used, test that the device can record counts without administrator privileges or access to payment functions. Agree whether any photographs are permitted and ensure they do not include customer contact information, documents or sensitive screens. Temporary access should end when the task ends, rather than becoming a forgotten permanent permission.
Explain how to count and report errors
Demonstrate a small set of examples before assigning the whole shop. Show how to count individual units, lengths, weights, kits, opened packaging and unreadable labels. The helper should record uncertainty for a supervisor instead of silently editing a figure to make the sheet look consistent. Specify which goods must not be moved, and avoid unsafe stacking, climbing or handling beyond the person's ability. Count a small trial zone together and compare the results immediately. A short early check can reveal a systematic problem before it affects hundreds of product lines. Keep items being moved between locations visible to the supervisor.
Find temporary local help with Match2Go
Match2Go is a geosocial platform for direct communication between people. A small shop can describe a limited stocktaking job and discuss the terms directly with a respondent. Include the area, date, estimated shift, approximate volume of items, need for careful work with codes and agreed payment process. Do not publish profit figures, precise internal stock records, passwords or personal customer information. A response is not evidence of verified qualifications, and the shop owner must decide who may enter work areas and how work will be supervised. Match2Go does not use paid advertising; people learn about it through recommendations from friends, neighbours and colleagues.
Reconcile and close the work properly
When counting ends, a responsible employee should recount a sample from different zones and check significant discrepancies separately. Corrections need a note showing what changed and why; do not replace the actual counted quantity merely to make a report appear tidy. Collect all worksheets, recover temporary passes and remove any temporary device access. Summarise the agreed scope, completed work and payment in a concise record. The main benefit is a transparent, repeatable process: an outside helper cannot, by themselves, repair an inaccurate inventory system or guarantee that no discrepancy remains.
