Finding Suppliers in the UK: A Practical Shortlist and RFQ Comparison
A UK small-business buying guide to supplier specifications, comparable quotations, samples, delivery checks and a documented choice.
Searching for a supplier is not the same as selecting a reliable one. A low headline price can disappear once packaging, delivery, defects and reorders are included. For a UK shop, workshop, café or online brand, the useful starting point is an exact buying requirement and a small, comparable shortlist. The method below works whether the item is locally made or sourced from farther away. It does not assume that any named supplier is already registered with Match2Go.
Write a specification before contacting anyone
Describe the intended use, units, measurements, material, acceptable tolerances, appearance, packaging and expected order volume. Distinguish essential requirements from optional preferences. If an item must fit existing equipment, include diagrams and an actual sample where appropriate. Decide what evidence would prove a match: measurements, product photographs, material samples or a small trial batch. Without a common specification, two quotations may describe materially different goods, making a price comparison misleading.
Build a shortlist with independent evidence
Look in relevant trade directories, referrals from professional contacts and manufacturers' own channels. Check whether each candidate is a maker, distributor or reseller, and where goods will dispatch from. Ask for contact details, a verifiable trading identity and relevant examples of completed work, but do not treat polished marketing as proof of performance. For sensitive or critical purchases, verify appropriate credentials through sources relevant to the actual transaction. Keep the process open to new candidates without announcing that every one is “approved”.
Send the same RFQ to each candidate
An effective request for quotation states quantities, delivery postcode, required date, sample expectations and the response deadline. Ask for unit and total prices, any minimum order quantity, tooling or setup charges, packaging, delivery and the tax treatment stated in the quote. If goods cross borders, request clear responsibilities for paperwork, charges and delivery terms rather than guessing them. Request alternative pricing for a smaller pilot and a larger reorder, where those quantities are realistic. This produces quotes that can be compared line by line.
Evaluate cost, quality and continuity together
Prepare a simple decision table with weighted criteria such as specification fit, quality evidence, total landed cost, lead time and ability to replace defective goods. Scores need short written reasons; a spreadsheet number alone is not evidence. Compare samples against the same measurement sheet and test the product in its intended use. Ask what happens if a batch arrives late, damaged or incomplete. A supplier's willingness to explain limitations may be more informative than an unrealistic promise of perfect delivery.
Test the relationship with a pilot order
Before committing to regular supply, agree a small initial order if practical. Record the order confirmation, approved sample, expected dispatch, packaging method and contact for problems. On arrival, count units, inspect agreed quality points and document discrepancies promptly. Distinguish a one-off transport issue from a repeated quality failure. Keep records of response speed, corrections and actual lead times. For long-running procurement, revisit alternative sources periodically rather than becoming dependent on a single undocumented promise.
Publish a clear buying brief, not confidential data
A useful brief might say: “Seeking a supplier of custom paper sleeves for a small retail brand; provide two material samples, quote 500 and 1,000 units, identify lead time and delivery cost to the stated region.” Avoid exposing customers' addresses, confidential drawings or supplier pricing from existing contracts in a public message.
