Old recipe cards in a family café: build a digital archive before updating the menu
Photograph and transcribe old café recipe cards, preserve uncertain readings, separate historic records from the current menu and check permissions.
Keep the public menu separate from the archive
A family-run café may have handwritten recipe cards, notes from former staff and photographs of signs that no longer hang above the door. These records can be valuable parts of the business's history, but they do not all belong on a customer-facing menu. The menu should describe dishes the kitchen actually serves now, while a separate internal archive preserves earlier ingredients, abandoned ideas, changes and recollections. Give each type of material a clear purpose rather than treating everything found in a drawer as current information.
Capture originals without erasing clues
Photograph or scan each card in even light, including its reverse and marginal notes. Give the item a stable identifier and record where the physical original is stored. If a word is hard to read, mark the uncertainty rather than filling the gap with a plausible ingredient. Keep the untouched image separate from cleaned-up scans and corrected transcripts. This allows a future reviewer to check whether an apparent change belongs to the original, the scanning process or a later editor.
Split the work among appropriate people
One person may photograph the cards, another transcribe handwriting and a designer prepare a readable menu layout. The owner or an experienced member of the kitchen team should decide which items remain accurate and available. Ask contractors to distinguish a literal transcription from a modern description written for customers. Request editable files and a clearly named image archive, not just a polished poster that cannot be revised without paying for redesign.
Check every claim before printing
Have someone familiar with the present kitchen review dish names, ingredients and how each item is served. Do not carry forward old prices, supplier claims or allergen information without current verification. If a recipe is associated with a particular creator, or photographs were taken by somebody outside the business, check the permissions needed for any intended publication. Approve the words before sending artwork to print so that a beautifully arranged page does not conceal incorrect content.
A fictional example in Bristol
Imagine a small café in Bristol discovering a box of dessert cards from its earlier years. The owner commissions clear digital images and accurate transcripts, then chooses just two dishes the current team can actually prepare for a refreshed menu. Unreadable notes remain flagged rather than quietly completed by guesswork. The café, staff and contractors in this example are fictional; it demonstrates a workflow, not a verified local business or service.
Don't turn the past into an invented marketing story
An old recipe does not, by itself, prove when a business opened, who invented a dish or whether it operated continuously. Avoid saying “our original recipe since opening” without the records to support the claim. Decide who may edit the files, who stores the originals and how corrections will be logged. A responsible archive distinguishes the historical document, a later interpretation and today's commercial offering so customers and future staff are not misled.
