An Australian Business Event Run Sheet: Venue, Access and Supplier Handover
Plan a business event with clear objectives, accessible venue questions, supplier scopes, practical run sheet and contingencies.
“End-to-end event planning” means very different things to different organisers. A client may expect transport, stage production and guest registration, while the quoted supplier includes only venue coordination. The original Russian guide emphasises the brief, milestones and quality control. For a business event in Australia, a practical run sheet and supplier responsibilities prevent expensive assumptions.
Define the outcome and essential services
Write what attendees should gain: learn about a product, exchange professional contacts or finish a workshop. Decide the expected attendance range, budget authority and the person who can approve changes. Separate must-haves from extras. Essential items might include an accessible room, sound equipment and a check-in process; branded gifts could be optional.
Ask the organiser to give a clear list of what “full service” includes. Venue booking and supplier coordination are distinct deliverables, and neither automatically includes guest communication or event-day staff.
Write a venue specification
List preferred dates and alternatives, attendee numbers, seating layout, projection needs, power, internet and access times. Ask about step-free routes, accessible facilities, quieter spaces and clear arrival instructions. Do not rely solely on an attractive promotional photograph to establish suitability.
For outdoor or partly outdoor gatherings, agree on rain, heat and wind contingencies and where participants can move safely. Check actual local venue conditions with responsible parties rather than assuming this general article explains permit or insurance obligations.
Divide supplier work precisely
For each supplier, record the deliverable, arrival time, point of contact, price basis and cancellation terms. Who supplies spare microphone batteries, guest signage, tables, waste removal, photography permissions and cleaning? A caterer's price may not include setup staff; an AV quote may not include a rehearsal.
Only give suppliers information they actually need. Sharing a complete attendee contact list with every contractor creates avoidable privacy problems. Agree on an appropriate approach to guest photographs and recordings before anyone publishes images.
Build the run sheet
Document the time and owner for supplier access, technical testing, doors opening, first presentation, breaks, networking, final session and pack-down. Include a decision-maker for unplanned changes and a backup contact if they are unreachable.
Choose one realistic response to each major risk: absent speaker, sound failure, weather change or a delayed delivery. A written “Plan B” without assigned roles and tested alternatives will not help on the day.
Inspect before and after
Walk through the same route a guest will follow, test microphones from the audience area and confirm signs can be read. Verify that the registration team understands accessibility requests. Afterwards, compare the delivered services with the specification, log missing items and review invoices and property handover.
Example brief: “Half-day workshop for 50–70 guests; accessible seating, screen, two microphones, simple refreshments, two registration assistants and a documented wet-weather arrival route.” It is illustrative, not a listing of Australian providers.
Match2Go and direct arrangements
